2. RATES AND PAYMENT METHODS
The Quinta de São Tomé offers rates for low, mid, high, and festive season occupancy. In addition to these rates, we provide daily occupancy rates, referred to as 'standard', weekly rates with a 20% discount from 7 nights onwards, and non-refundable rates with a 15% discount from 3 nights onwards. Please consult the booking engine for further details.
To secure your reservation, we request payment of a pre-reservation within 24 to 48 hours after the presentation of the booking proposal, covering the total reservation amount and/or starting from 50% of the total reservation value. The full amount is to be settled up to 7 days before the check-in date.
Group Reservations, Partner Reservations, and Promotional Campaigns
Group reservations, starting from 4 accommodations, benefit from a 10% discount (1 night), 15% (from 2 nights), and 20% (from 4 nights). Please contact us for further details regarding pre-reservation payment deadlines.
For partner reservations, special payment conditions will be negotiated on a case-by-case basis. Please get in touch for more information.
Reservations made through promotional campaigns apply to the standard price for the current occupancy and are not cumulative with other discounts.
Discounts are not cumulative for group reservations. Available payment methods include bank transfer, credit card, or MBWay.
6. ADDITIONAL CHARGES
A. Laundry
For guests staying in the “Room” category, we offer the possibility of enjoying laundry services, charged according to the following table:

B. Charging Hybrid and electric cars
We have type 2 charging equipment for charging electric cars and hybrid cars. The fee charged by Quinta de São Tomé is €0.49/kW. The charge made will be confirmed in the guest's charging app. If verification is not possible via the guest app, the maximum charge will be charged according to the make and model of the car.

5. CHANGES TO BOOKING
We do not expect to have to make changes to your reservation, however, unforeseen events may occur that require you to change or cancel reservations. We will only change or cancel your booking if strictly necessary to carry out or complete essential repair or renovation work, or for other unforeseen reasons which are beyond our reasonable control.
If we have to change or cancel your booking, we will use reasonable efforts to offer you a suitable alternative booking. If we are unable to offer you a suitable alternative, or if you do not accept the alternative we offer, we will refund the full amount you paid us for the reservation, however we will not be liable for any other financial damages resulting from the cancellation of the reservation.
4. BOOKING CANCELLATION POLICY
A. NON-REFUNDABLE Rate:
The total price of the stay is charged at the time of booking and there will be no refunds if the reservation is cancelled, changed, or declared a no-show.
B. STANDARD Rates:
Up to 30 days before check-in: we refund the deposited amounts, however, a 15% commission on the booking value is charged.
Between 14 and 30 days before check-in: we refund the deposited amounts, however, a 25% commission on the booking value is charged.
Between 7 and 14 days before check-in: we refund the deposited amounts, however, a 50% commission on the booking value is charged.
Within 1 to 7 days before check-in: the deposited amounts are non-refundable.
C. NO-SHOW Policy:
In case of no-show, a fee of 100% of the total reservation amount will be charged.
D. Mitigating Circumstances:
In case of sudden illness and/or illness, cancellation and full refund of the reservation will be accepted upon presentation of medical evidence.
E. Stay Voucher:
All reservations, regardless of the selected rate, qualify to receive a stay voucher for the total amount of the reservation, valid for up to one year.
3. BOOKING CONFIGURATION
It is included in the reservation: Breakfast, towels, shampoo and shower gel, access to the pool, use of sunbeds, parking space.
Not included in the reservation: bar service. All bar consumption will be charged at the current rate (See Price List on site)
Other services, such as consumption, reservation of meals or bicycle rental or subscribing to partner experiences are extra services that must be subscribed to at the time of booking or an appointment/reservation must be made during the stay.
10. USE OF COMMON SPACES
A. COURTYARD ACCESSING THE ROOMS:
Each accommodation has allocated 2 chairs and 1 table on the patio accessing the rooms (Estúdio Alfazema, Rooms Bolota, Endro and Papoila) and 1 dining table and 4 chairs (Apartamento Horizonte) and 1 dining table, 4 chairs and 2 armchairs (Apartamento Seara). It is not allowed to move this fixed asset from its original locations.
It is not allowed to place personal objects outside the rooms, with the exception of towels and pool clothes that you want to dry.
B. POOL Open from 9:00 am to 7:00 pm
This is a space used by everyone. Maintain a suitable environment for the enjoyment of all guests.
REQUIRED:
• Step through the shower before entering the water.
NOT ALLOWED:
• The use of room towels in the pool area. If you need a pool towel, ask an employee.
• Consume food or drink that has not been purchased at Quinta de São Tomé.
• Consumption at the pool bar: we will record your consumption during your stay for settlement at check-out.
• Consult our employees about the possibility of using the common dining spaces during opening hours.
• Putting/abandoning rubbish.
• Smoking outside designated spaces (bar space), leaving cigarette butts in non-designated spaces.
• Exceed the use of sunbeds available for each accommodation (2 per accommodation)
• Moving lounge chairs from designated spaces.
• Pets are not allowed inside the pool.
C. FIREPLACE ROOM - BAR DAS ANDORINHAS - TV ROOM Open from 9:00 am to 7:00 pm
This is a space used by everyone. We appreciate the good maintenance of the space and care for the equipment and games.
NOT ALLOWED:
• Smoking inside (you can use the Andorinhas Bar for this purpose).
• Consumption of beverages and/or food present in common spaces. Consult a collaborator if you wish to purchase a drink and/or meal.
9. CODE OF CONDUCT
A. Use of accommodation
During your reservation, pay attention to the maintenance and proper functioning of all equipment. Make sure all occupants comply with rules and codes of conduct. If breakages, damage, or malfunctions occur during your stay, please contact management. We will evaluate the conditions of use and additional cleaning or breakage fees may apply.
B. Courtesy to others
In consideration of other guests, we ask that you respect those who wish to sleep. For this reason, do not raise your voice after 23:00 and leave the terrace/garden at 24:00. Parties are strictly prohibited unless specifically authorized.
8. MAINTENANCE OF ACCOMMODATION
Quinta de São Tomé guarantees optimal hygiene conditions in the room, with its specialized cleaning staff who carry out a complete cleaning and disinfection before the arrival of guests and after their departure. We will not do housekeeping or change towels during short stays. Stays of more than 3 nights include a weekly change of towels.
7. CHECK-IN AND CHECK-OUT
A. Check-in
Please provide us with your best estimate of arrival time. Check-in takes place between 3 pm and 7 pm. If guests arrive earlier, we will do our best to store your luggage until check-in at your booked accommodation is possible, but we cannot be held responsible for any loss or damage. For arrivals after 21:00, please inform us in advance. A late check-in fee may apply.
Late check-in fee (after 9:00 PM and until 12:00 AM): €25
B. Checkout
As a general rule, check-out should be completed by 12:00 PM. If guests wish to do so and subject to availability, we will attempt to store their luggage after 12:00 PM. However, we cannot be held responsible for any loss or damage.
Entry and exit outside of the specified hours will be allowed, provided that the rooms are vacant and depending on availability. A late check-out fee may apply.
Late check-out fee:
Check-outs until 5:00 PM only: €25 (Jan-May), €40 (Jun-Sep), €25 (Oct-Dec)
13. OUR ACCESS RIGHTS
Our staff or maintenance team may need to access your room if there is an unforeseen problem, investigate a complaint you have made or carry out certain routine property checks. Should this occur, we will do our best to inform you in advance of the date and time we will need access.
12. CIVIL LIABILITY
Quinta de São Tomé is not responsible for damage caused by guests, loss, theft or accidents inside or outside the room.
11. VIDEO SURVEILLANCE AND DATA PROTECTION SYSTEMS
Under the terms of Law No. 34/2013, of May 16th and Ordinance No. 273/2012 of August 20th, Quinta de São Tomé may, for the protection of visitors, carry out closed circuit television (CCTV) surveillance. Notices informing the existence of these systems are in a very visible place.
The confidentiality and secrecy of all personal information provided by guests will be maintained. Data are entered into the Quinta de São Tomé system for reservations and contact information. In accordance with European data protection legislation, guests can rectify or cancel their data whenever they wish. 14. OUR RIGHT TO EVICT
We may terminate our contract with you and ask you to leave your accommodation immediately if:
• We believe that you or your company have committed a breach of these terms and conditions;
• We believe that your behavior or that of your company puts the safety of our visitors, or our staff, at risk;
• Complaints are made of anti-social or unacceptable behavior against you or your company;
• Your person or your company causes irreparable damage to the property or its contents;
• Exceed the maximum occupancy limit of your accommodation.
15. EVENTS OUTSIDE OUR CONTROL
We will not be liable for any failure to perform our obligations under these terms and conditions caused by an event beyond our control.
An event beyond our control means any act or event beyond our reasonable control, including, without limitation, fire, explosion, storm, flood, earthquake, subsidence, epidemic or other natural disaster, strikes or industrial action by third parties, terrorist attack or threat of terrorist attack, war or threat of war, civil unrest, riot, invasion or failure of public or private telecommunications networks.
16. MISCELLANEOUS
Guests may not use the rooms for commercial or immoral purposes.
Quinta de São Tomé reserves the right to modify the information contained on its website for online reservations at any time and is the sole owner of its content.
In case guests have requested a specific room, every effort will be made to satisfy their wishes, but we reserve the right to change the room initially assigned.
These terms and conditions are governed by Portuguese law and the exclusive jurisdiction of the Portuguese courts.
17. IF YOU HAVE A PROBLEM OR COMPLAINT
We take great care to ensure that our property is of the highest standard. However, if you have a problem with your room, please contact us immediately and give us the opportunity to resolve it.

1. BOOKINGS AND PAYMENTS
After confirming your reservation, you will receive an email confirming the details of your stay (reservation number, arrival, and departure date, number of guests and rooms, and advance payment). If the reservation includes a number of guests greater than the amount paid, Quinta de São Tomé will adjust the reservation, charging an additional fee per extra guest/night.
Reservations must be made directly on our website. Bookings by phone, email, Facebook, Instagram, and WhatsApp are subject to availability. After requesting a reservation through these channels, if rooms are available, Quinta de São Tomé provides a transaction code for the reservation.
Reservations are secured upon payment of the agreed amount, using the payment method chosen at the time of booking, and upon receipt of proof of payment. In the case of partial payment, the total amount of the reservation must be settled within the maximum period indicated in your reservation.
A. Occupation
Overcrowding of accommodation is not allowed. The maximum capacity at Quinta de São Tomé is 22 people*, distributed as follows:
• Alfazema: 2 (King bed or Twin beds) + 1 (Extra bed in single sofa bed)
• Bolota: 2 (King bed or Twin beds) + 1 (Extra bed in single sofa bed)
• Endro: 2 (King bed or Twin beds) + 2 (1 Extra bed on single sofa bed + 1 Extra single bed on Divan)
• Papoila: 2 (King bed or Twin beds) 1 (Extra single bed on Divan)
• Horizonte: 2 (King bed or Twin beds) + 2 (Extra bed on double sofa bed)
• Seara: 2 (King bed) + 2 (Extra bed on double sofa bed)
*In addition to the capacities announced above for each accommodation, we also have 1 extra single bed on a Divan that can be equipped in the following accommodations, on request: Endro, Horizonte, Seara.
B. Taxes
All prices shown on our website or elsewhere for rooms and services in Quinta de São Tomé include VAT (the general sales tax in Portugal). If VAT rates change, we reserve the right to change our prices accordingly.
C. Children/Babies
Accommodation for babies up to 3 years old is free as long as they stay overnight in their parents' bed. If you need a crib (free of charge) or an extra bed, please request availability at the time of booking.
D. Pets
Pet companions are allowed in reservations, for small and medium-sized pets with no additional fees*, and for large-sized pets with an additional fee of €12/night*.
The following sizes are considered for pets:

Small-sized: between 6 and 15 kg (e.g., Chihuahua, Pekingese, Miniature Pinscher, Yorkshire Terrier, Basset Hound, Beagle, French Bulldog, and all cat breeds).

Medium-sized: between 15 and 25 kg (e.g., English Bulldog, Cocker Spaniel, Fox Terrier, and Chow-Chow).

Large-sized: between 25 and 45 kg (e.g., Labrador, Golden Retriever, German Shepherd, and Dalmatian).

Giant-sized: Our accommodations are not equipped to host pets weighing over 45 kg (e.g., Great Dane, Saint Bernard, and Brazilian Mastiff).
Additional rules:

Pet companions must always be on a leash and accompanied by their owners in outdoor and indoor common areas.
-
Pet companions are not allowed in the pool area.
-
Large-sized pets are not permitted in indoor common spaces.
*In case of unforeseen circumstances, an additional cleaning fee (€20) or a damage fee (up to €300) may be applied, depending on the applicable situation.
